Administrative Assistant with Italian/Spanish – based in Barcelona


Description:


As an Administrative Assistant, based in our Barcelona Office, you will form part of a dynamic team of professionals that focus on assisting the employees of our Front Office (Underwriting Department) and Back office (Finance).


You will directly report to the Administrative Centre Manager/Head of Underwriting Operations - TME and you will perform administrative tasks specific for our core business. You will be key for an efficient Administrative Centre, as well as to comply with the company’s objectives and standards.


Main responsibilities:


Assisting in managing the portfolio dedicated to Japanese risks in Property, Casualty and Marine


  • Daily processing of requests from brokers, underwriters and other departments
  • Issuance of policy documentation (insurance policy, endorsement, renewal letter, regularisation)
  • Maintaining the database up-to-date
  • Keying the policy data in the Policy Administrative System (genius)
  • Follow up/maintain the renewal portfolio and related documentation
  • Invoicing the clients and follow up on overdue and incorrect payments
  • Guarantee data quality checks
  • Filing documentation
  • Meeting monthly deadlines


Assisting in day to day activities of the department


  • Arranging business trips through our external travel agency
  • Preparing and submitting employees expense reports
  • Covering reception when requested
  • Participation in team meetings
  • Meeting internal and external (auditors) compliance requirements
  • Prepare portfolio reports
  • Weekly quantification of backlog


Requirements:


  • High school, FP administration
  • Experience in an administrative role (4 to 7 years)
  • Experience as manager will be a plus
  • Languages: Italian, English, Spanish


Profile:


  • Good numerical and organizational skills
  • Detailed orientated
  • Service oriented, to both external clients and employees
  • Able to work well under stress
  • Team player
