IE University's Finance & Administration  is looking for an Associate to join its team!  The Associate will be responsible for coordinating, supervising, and executing all processes related to internal staff travel expenses, ensuring accurate accounting and compliance with internal policies and applicable regulations.
This includes the management of travel advances, corporate credit cards, expense justification, and coordination with other departments to ensure efficiency, traceability, and transparency throughout the entire travel expense cycle.

Responsibilities Your role as a Associate will involve.
Manage and oversee the processes for requesting, authorizing, and paying travel advances.
Administer corporate credit cards.
issuance, monitoring, cancellation, and usage control.
Review and validate employee travel expense reports, ensuring compliance with internal policies.
Accurately record travel expenses in the financial system, ensuring correct cost allocation.
Follow up on missing documentation, request justifications, and resolve discrepancies with employees Apply internal controls to prevent errors, fraud, or non-compliance.
Coordinate with Accounting, Treasury, HR, and Audit departments to ensure integrated and aligned management.
Provide support during internal and external audits related to travel expenses.
Propose improvements to procedures, tools, and policies to optimize travel expense management.
Ensure compliance with the travel expense policy.
Manage foreign currency operations.
Maintain an organized archive of related documentation.
Qualifications To thrive in this role, you should possess the following qualifications.
Degree in Business Administration or related field.
Fluent in Spanish and English, both spoken and written.
Minimum of 2 years´ experience in a similar role within a multinational company.
Advanced proficiency in Microsoft Excel; familiarity with Power BI and AI applications for accounting is highly valued.
Experience with ERPs (SAP, Oracle, Microsoft Dynamics) and expense management tools (such as Concur or Expensify).
Solid knowledge of general accounting and financial principles.
Understanding of internal expense policies and tax regulations related to travel and per diem.
Document management skills and ability to review and audit expense reports and supporting documentation.
Ability to analyze financial data and prepare reports accurately.
Strong attention to detail and precision.
Excellent organizational and time management skills.
Effective communication skills to interact with staff at all levels and resolve issues.
Internal customer orientation, with a proactive and solution-oriented mindset.
High standards of integrity and professional ethics, especially in handling sensitive information.
Ability to work under pressure and manage high administrative workloads.
