ASSISTANT MATERIAL PLANNER

SUMMARY Responsible for timely issuance of purchase orders for materials and services to approved active suppliers, for handling applicable correspondence and documents related to the status associated with purchase orders, and for assisting with administrative closeout of each project.
This position is required to closely interact with project engineers and managers, suppliers, and scheduling staff to avoid material shortages and production downtime, as well as to manage inventory levels to meet our customer service and inventory targets.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES include the following.
Other functions may be assigned.
·           Perform timely, cost-conscious procurement of production/inventory/MRO items.
·           Review purchase order acknowledgements for accuracy, input data requirements into database, files correspondence into correct folders, and responds to questions, concerns, and needs.
·           Monitor incoming parts for timeliness and works with suppliers to expedite parts as needed to meet on-time shipments of units.
·           Notifies internal shipping & receiving personnel, scheduling, and project teams appropriately on part status – coordinates with scheduling when parts cannot be delivered on-time or as promised.
·           Identifies potential delays in either processing or execution of delivery by suppliers and acts to facilitate improvements with the cooperation of the supplier and requisitioning team members.
·           Maintain proactive shortage identification and management - help flag root causes & corrective actions.
·           Logs purchase order information and shipment dates in job tracking system.
·           Ensure optimal inventory levels and safety stock are maintained as appropriate.
·           From approved supplier list, recommend and select suppliers to fulfill part requirements.
·           Assist with finding, qualifying and on-boarding new suppliers for approval.
·           Administrates the purchasing process in accordance with all company directives, policies and procedures.
·           Works with A/P and other internal personnel in reconciling purchase orders to invoices (match exceptions) in a timely manner.
·           May need to assist with receipt & distribution of approved vendor materials as needed.
·           Coordinate with Quality to resolve quality issues with suppliers – process RMA’s as needed.
·           Assist in reviewing, tracking, and processing returned parts from production.
·           Assists in execution of freight claims for damaged parts through to closure and receipt of credit.
·           Assists with improvements to office and shop systems and processes.
·           May assist with shop stock parts requisitioning in order to maintain proper supply levels.
·           Attends and participates in team meetings and technical training classes as scheduled.
·           Works as an effective member of a team of engineers, technicians, and support professionals.
·           On occasion, may lead and direct others to accomplish desired organizational objectives.
·           Submits accurate, timely reports as required.
·           Performs work duties in compliance with all company safety policies.
·           Update part pricing changes as needed in database and communicate price changes with TCS Sales.
·           Assists TCS Technicians with last minute/urgent/missing items with appropriate urgency.
·           Maintains an IR purchasing credit card and completes regular purchasing allocations.
·           Flexibility to occasionally work outside normal work hours/weekends when needed.
·           Flexibility to occasionally work in other company departments when needed.

identify and implement cost reduction/productivity projects to meet corporate initiatives/goals.
Assist in maintaining pipeline and financial records for reporting and tracking savings.
·           Assist in ensuring up-to-date ABC classification and other key inputs are maintained for PFEP process.
SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities.
QUALIFICATIONS.

EDUCATION and/or EXPERIENCE Two years of college or technical school; or four (4) years of related experience and/or training; or equivalent combination of education and experience.
Proficiency with Microsoft Office and ERP software is required.
Purchasing experience preferred.
Scheduling or expediting experience preferred.
JIT experience preferred.
APICS (CPIM) or equivalent certification a plus.
Shipping and receiving experience preferred.
Familiarity with mechanical contracting and/or HVAC Systems is a plus.
KEY COMPETENCIES AND SUCCESS FACTORS Requires an ability to read and comprehend simple instructions, short correspondence, memos, to write simple correspondence, and ability to effectively present information in a one-on-one and small group situations.
Requires an ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals, and an ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form, and to deal with problems involving several concrete variables in standardized situations.
Understanding of Kanban and JIT systems.
Must possess a strong customer service orientation and must provide dedicated support of internal and external customer requirements.
Must be a strong written and verbal communicator, able to communicate to various audiences effectively.
Must be team oriented, and have the ability to work well in a manufacturing environment.
Must be detail oriented (data entry) and self motivated, able to work with minimal supervision.
